Reporting to the Financial Accountant, the Finance Assistant has primary responsibility for providing support as required within the accounts department, responding to routine enquiries from staff and suppliers and investigating where appropriate. The Finance Assistant will also provide holiday cover for other posts within the accounts team so will be exposed to all aspects of transactional accounting to become familiar with tasks to be covered whilst colleagues are on holiday.

• Purchase Ledger (Access Dimensions)
o Data entry of purchase invoices (as required)
o Matching of purchase invoices with POs (as required)
o Reconcile supplier statements and request copy invoices where appropriate (monthly)
o Assist with documentation in preparation for payment run (weekly)
o File paid invoices accurately in numerical files (weekly)
o Assist in following up on any outstanding invoices awaiting purchase orders or approval
o Cancel POs no longer required as directed by the Financial Accountant (weekly)
o Responsible for maintaining the accuracy of the purchase ledger.

• Costing ledger (Lawson/Access Dimensions)
o Timesheet verification/chasing (weekly on Friday PM/Monday AM)
o Processing of transfer requests (daily)

• Credit control (Access Dimensions & Excel) – provide support to the Credit Controller
o Contact customer accounts departments to ensure invoices have been received and are being processed to be paid within credit terms (weekly)

• Cover for Staff expenses (Lawson)
o Review staff expenses for errors (weekly)
o Review VAT receipts attached to expenses for errors (weekly)
o Approve staff expenses for interface from Lawson expenses system (weekly)
o File paid staff expenses accurately in batches (weekly)

• Payment run
o Support the payment run process

• Ad-hoc
o Respond promptly to general queries from staff, suppliers and customers (as required)
o Assist in the chasing of timesheet entries
o Other assignments and projects (as required)

• Ability to perform accurate work with a strong attention to detail and in a timely manner
• Good communication skills, both verbally and in writing
• To work effectively and constructively with immediate colleagues
• Show good interpersonal and influencing skills
• Demonstrate an interest in accounts work – experience of accounts work is desirable
• Experience of data handling within Excel is desirable
• Experience of Access Dimensions is desirable
